Proposal Transmittal Form

OSP has implemented two electronic systems: 1) a proposal routing system and 2) a post-award system to accomplish actions such as requesting consulting and subaward agreements, rebudgeting, FastLane access, and no-cost extensions.

The electronic system is preprogrammed so that when a faculty member logs in to the system to route a proposal or request a supplemental action, the relevant routing scheme is already established.  For example, a faculty member in Biology will have a routing scheme whereby the proposal is transmitted to the Chair, the Senior Business Manager, the College Dean, the Graduate School and to the relevant OSP Grants and Contracts Administrator.  Each signatory in the system will receive an email alerting them that a proposal is available for review.  As the signatory approves the proposal, it is automatically sent to the next person in the process.

To log in to the electronic system, click on the "electronic systems" link above and enter your GU Net ID and password.  The system is programmed based on existing Georgetown userids and passwords.

OSP implemented the electronic proposal routing system in October 2004.  While OSP and the relevant signatories prefer the use of the electronic system, faculty have the option of routing a paper Proposal Transmittal Form through all of the relevant signatories.  

 

 
Using the new Electronic Forms

To facilitate the process of introduction, we created a short presentation on "how to" navigate the new electronic system, which includes information on providing signatory approval and attaching supplemental forms.  By no means should anyone be discouraged or daunted by the new system; as the above presentation surely will illustrate, it is both user-friendly and visually identical to its paper counterpart and should in no way become a logistical hindrance for anyone.   We welcome your questions and comments.

In short, proposals are submitted by choosing "New Transmittal" and post-award actions by choosing "Supplemental Forms" and then choosing the relevant form.

 
Instructions for Rejected Proposals


If a signatory rejects your proposal, you will be notified by email labeled "OSP Proposal Rejection Notice."  Click on the rejected proposal transmittal form.  It will contain a box labelled "Make Changes."  Click on this box to update your proposal as necessary and "Save."  Then, click "Resubmit" to route your proposal back to the signatory who rejected it.  It is not necessary for the proposal to start from the beginning.  Your proposal will then route through the remaining signatories and then to OSP.
