Equipment Devices or Demonstration and Evaluation

At times the University may require a demonstration of a particular technology, equipment and or       service. A vendor, upon the assurance of the following factors, may accommodate this request. (No on-site demonstration with the exceptions of specific situations outlined in writing by the University.

1. The University has a current and or upcoming need for such service
2. The technology is of cutting edge and may prove to be a benefit to the institution
3. The providing vendor has the appropriate insurance (as it relates to the specific situation) to protect the institution and its employees from any resulting occurrence
4. The demonstration is being provided as a fact finding opportunity and will not constitute an obligation on the institution's part
5. Costs associated with such a demonstration, shall be incurred by the Vendor (unless otherwise agreed upon) including and repairs and or replacement costs
6. Documents requiring signatures must be provided to the respective Purchasing office for review and approval. *NO DEMONSTRATION IS TO BEGIN WITHOUT THE KNOWLEDGE OF THE PURCHASING DEPARTMENT.*
7. Any purchase orders required, to initiate a demonstration shall be of $0 dollar value
8. Staff requiring a demonstration should contact the Purchasing office to initiate such a demonstration
Safety:

The responsibility of "Safety" is the primary responsibility of the Department of Safety and Environmental Management. Procurements containing safety/hazardous material related issues may be coordinated with this department to avoid and alleviate any adverse implications. University and Medical Center staff should coordinate safety/hazardous material questions and concerns with the appropriate department prior to the initiation of the procurement. It is the responsibility of each employee to strictly adhere to safety guidelines that are enforceable by law.
