Contracts

To ensure the success of any large project, there must be a caretaker of the bottom line - the numbers, facts and figures that are necessary and important details. When it comes to construction and renovation projects at Georgetown, this critical responsibility rests with the Contracts Department.

In the project planning stage, the Contracts staff assists in preparing bid documents and conducts bid openings to choose vendors who will complete each project. After the selection process, the department prepares and executes the written contracts. The staff processes invoices, resolves billing disputes and makes payments as services are rendered; compiles and distributes the Quarterly Planning Design and Construction Report, which reflects actual versus projected costs for all projects; and maintains all administrative contract files.

The Contracts Department also tracks grant contracts for special projects like the Fuel Cell Bus Program engineered by the Advanced Vehicle Department (see the Advanced Vehicle page for more detailed information on the program) and works aggressively to support the Minority Business Enterprise (MBE), seeking 35% participation in major contracts from minority business.
